PowerScribe® Integration

About this guide

This guide is intended for two audiences: 

  • PACS Administrators — Section 1 covers everything needed to configure and verify the integration. Section 3 covers troubleshooting. 

  • Radiologists — Section 2 covers the day-to-day workflow once the integration is live. 

Prerequisites: Windows workstation, Google Chrome, PowerScribe® 360 Reporting or PowerScribe® One installed, Vault background service (Workflow and Reporting Native Application) and Stratus Imaging Display Manager Chrome extension installed. 


Section 1: PACS Administrator Setup 

The Workflow and Reporting platform now supports integration with PowerScribe® 360 Reporting and PowerScribe® One, by Nuance Communications, Inc., as the external dictation and reporting solution. This section covers the steps required to configure and verify the integration. All steps in this section are performed before radiologists begin using the integration. 

1.1 Enable PowerScribe in Facility Settings 

The first step is to enable PowerScribe as the external reporting platform for the facility.

  • Log in to the platform as an Administrator. 

  • Navigate to Facility Settings for the relevant facility. 

  • Locate the External Reporting dropdown and select PowerScribe. 

  • Click Save. The change takes effect immediately. 

What to expect after enabling

  • The native Sign buttons will no longer be visible to radiologist users — this is expected. 

  • PowerScribe will launch automatically when radiologists open unread studies.

  • To disable the integration at any time, return to Facility Settings and set External Reporting back to None. 

1.2 Workstation Requirements 

The integration is supported on Windows workstations and requires local installation of the following:

  • The relevant PowerScribe application (PowerScribe® 360 Reporting or PowerScribe® One) 

  • The Workflow and Reporting Native Application (Vault) 

  • The Chrome browser extension “Stratus Imaging Display Manager”

Notes 

  • The installed software must be running on the workstation for the integration to be functional. If the software is not running, the auto-launch will be unavailable or will return an error. Contact your system administrator if this occurs. 

  • PowerScribe® 360 Reporting and PowerScribe® One are optional, separately purchased third-party applications that can be integrated with Stratus Imaging Reporting. Available features and workflows depend on the application license and options purchased. 

  • The Workflow and Reporting Native Application is used to connect the integrated applications with the platform. 

  • The Stratus Imaging Display Manager detects monitor setup and positions the browser windows for the viewer. 

1.3 Verify the Workstation Setup 

Before radiologists go live, confirm the following on each workstation:

Check the Chrome toolbar — the Stratus Imaging Display Manager icon should be visible and enabled. 

Vault service running 

Open services.msc — confirm Vault shows status Running. 

PowerScribe client installed 

Launch PowerScribe manually once to confirm it opens and connects to the server. 

Vault credentials configured 

Confirm report-connector-settings.json no longer exists in the Vault directory (deleted after first use). 

Correct PS version active 

Only one unprefixed .site file should be present in the Vault Relics directory (PS360 or PS One — not both). 

PowerScribe enabled in the platform

Facility Settings > External Reporting = PowerScribe. 

End-to-end test 

Open a test study, confirm PowerScribe launches in context, dictate, sign — confirm exam moves to Completed. 

1.4 How Status Updates Flow 

Understanding the status flow helps when troubleshooting or answering radiologist questions.

Radiologist opens unread study 

PowerScribe launches automatically and loads the study in context. 

Radiologist saves Draft or Prelim 

Study remains in Inflight, assigned to the radiologist. No status change. 

Radiologist signs Final in PowerScribe 

Study moves to Completed. An “In Processing” indicator appears. 

Final HL7 report received from EMR 

Study fully finalized. “In Processing” clears. Assignee removed. 

Radiologist logs out of the platform

PowerScribe client is automatically closed by Vault. 

Section 2: Radiologist Workflow 

Once your workstation is configured by IT, no additional setup is required. This section describes your day-to-day workflow with PowerScribe enabled. 

2.1 Logging In 

  • Log in to the platform in Google Chrome as normal.

    • Vault automatically starts PowerScribe in the background.

  • On first use, you may be prompted to log in to PowerScribe with your PowerScribe credentials.

    • After the first login, PowerScribe typically remembers your session. 

Note 

  • Your PowerScribe credentials are separate from your login to the platform. 

  • The platform does not manage or store your PowerScribe username or password. 

2.2 Opening and Dictating a Study 

  • From the Inflight or Pending worklist, open an unread study.

  • PowerScribe automatically opens and loads the study in context. 

  • Dictate your report in PowerScribe. 

    • Draft and Prelim states within PowerScribe do not affect the study status in the platform. 

Auto-launch rules 

  • PowerScribe launches automatically when you open an unread study and you have reporting rights for it. If a study is unassigned and you have reporting rights, it will be assigned to you when you open it. 

  • If you do not have reporting rights for a study, PowerScribe will not launch — the study can still be opened for viewing. 

  • Addendums require PowerScribe to be launched manually. 

2.3 Signing a Study 

When you select Final in PowerScribe, the following happens automatically: 

  • The study moves to Completed and is removed from your Inflight worklist. 

  • An “In Processing” indicator appears while the platform waits for the final report from the EMR. 

  • Once the report is received, the “In Processing” indicator clears and the exam is fully finalized. 

Study locked during processing

The study is locked between signing and receipt of the final report. No actions can be taken on it during this window.  

2.4 Switching Between Studies 

If you open a second study while PowerScribe is open on another: 

  • PowerScribe automatically switches to the new study. 

  • The prior study is suspended. Its status and assignment in the platform remain unchanged. 

If you switch back to a previously viewed study tab and it no longer matches what is open in PowerScribe, a warning will appear: 

Warning: Patient context mismatch detected 

The study open in the platform does not match the study open in PowerScribe. 

  •  Cancel — stay on the current study without changing PowerScribe. 

  •  Relaunch — trigger PowerScribe to reopen in context with the currently active study. 

2.5 Logging Out 

When you log out of the platform, Vault automatically closes PowerScribe. No manual steps are required. 

Section 3: Troubleshooting 

If something is not working as expected, the table below covers the most common issues and where to start. For issues not resolved here, contact support.

PowerScribe does not launch when a study is opened 

Check that the Stratus Imaging Display Manager extension is active in Chrome. Confirm the Stratus Imaging Vault service is running. Verify PowerScribe is enabled in Facility Settings. 

PowerScribe opens but the wrong study appears 

Confirm the exam exists in PowerScribe’s patient database. Check that the exam has a valid accession number. Contact support if the issue persists. 

Study does not move to Completed after signing 

Confirm PowerScribe was signed with Final (not Prelim or Draft). Check Vault is still running. If the study shows “In Processing” but does not clear, the HL7 report from the EMR may not have been received — contact your support team. 

“In Processing” does not clear after a long time 

The final HL7 report from the EMR may not have arrived. Contact your IT team or Stratus Imaging support with the accession number. 

Context mismatch warning appears repeatedly 

Select Relaunch to re-sync PowerScribe with the correct study. If this happens frequently without tab switching, contact IT support. 

PowerScribe client does not close on logout 

Confirm Vault is running. If Vault is stopped, PowerScribe will not receive the shutdown signal. Restart Vault via services.msc.
