Scan documents

Overview

This guide describes how to scan patient documentation. 

Note: You may be prompted to install the Dynamsoft scanning software the first time you scan. If prompted, download and install the software. For details, see the "Install the Dynamsoft Software Development Kit" section. 

Scan a document 

Turn the scanner on, place the document in the scanner, and then do the following: 

  1. Launch the scanning workflow: 

  • Click the three-dots menu for an exam on the Exams list (or right-click the exam) and select Documents: scan

  • Alternatively, in an opened exam, select the three-dots menu on the Bottom Ribbon and click Documents: scan

  • The Scan Documents tab is opened. For details, see the "Overview of the Scan Documents tab" section.

  • The Scan a new document dialog is displayed.  

  1. Select your scanner from the Scanner list. Additional options specific to the scanner are displayed. 

  1. (Optional) Update the scan options: 

  1. To automatically feed each page of your document, select the Use auto-document feeder checkbox. 

  2. To scan both sides of each page in the document, select the Scan both sides checkbox.

  1. Click Scan. A preview of the scanned document is displayed. 

  1. To scan another document, place the document in the scanner, click Scan New Document, and repeat steps 2 – 4. 

  1. For every page in the thumbnail panel, right-click the thumbnail, and select the Document Type

  1. Click Save and then click Yes, Save Documents

  1. Click Close Scan Documents

The Scan Documents tab closes. You can find the scanned documents in the Current Documents tab of the exam. 

Adjust page appearance and order 

Before saving a scanned document, do the following in the thumbnail panel: 

  1. Click Expand All to display thumbnails of all the scanned documents. 

  1. For each page to be adjusted, right-click the thumbnail, and make adjustments as required: 

  • Rotate Left: Turn the page counterclockwise. 

  • Rotate Right: Turn the page clockwise. 

  • Move Up: Move the page before the previous page. 

  • Move Down: Move the page after the next page. 

  • Delete: Remove the page from the document. 

Overview of the Scan Documents tab 

The Scan Documents tab is made up of three components: 

  • Information banner 

  • Thumbnail panel 

  • Viewing area

Information banner 

Displays the patient and exam information of the exam for which documents are being scanned.

Thumbnail panel 

Displays thumbnails of the pages scanned during the session.  


You can start scanning a document or make adjustments to scanned pages in this panel.

Viewing area

Displays the page and information about the scanned document selected in the thumbnail panel. 


You can zoom and pan the page in this area. 

Information banner 

The information banner at the top displays information about the patient and the exam for which the documents are being scanned.  

Thumbnail panel 

The thumbnail panel displays thumbnails of the pages scanned during the session. 

The thumbnails are grouped by document type. Documents that are not yet assigned a type appear at the top of the panel in the Unassigned group. 

In the thumbnail panel, you can do the following: 

  • Start scanning a new document. 

  • Cancel scanning a document when a scan is in progress. 

  • Assign a document type to scanned documents. 

  • Preview and adjust scanned pages. 

  • Expand or collapse the visibility of the thumbnails of scanned documents.

Viewing area 

The viewing area displays the scanned page selected in the thumbnail panel. The type of document and details about the scan are displayed at the top. 

You can use the buttons in the viewing area to change the view.

Move the viewable area of the scanned page.

Show the whole scanned page in the viewing area. 

Support and installation 

To scan documents in Stratus Imaging and Workflow, the feature must be configured and enabled. The Dynamsoft Dynamic Web TWAIN Software Development Kit (SDK) must be also be installed on the workstation, and a supported scanner must be available. 

Supported scanners 

You can use TWAIN- or ICA-compatible scanners that are supported by the Dynamic Web TWAIN SDK. 

Common scanner manufacturers include Brother, Canon, Epson, and HP. Network scanners are supported with a compatible driver.

Document scanning setup 

Document scanning is configured by Change Healthcare Support. 

Once configured, your PACS administrator can then enable or disable document scanning for your facility using the Scanner integration toggle.

Install the Dynamsoft Software Development Kit 

The Dynamsoft Dynamic Web TWAIN SDK includes the drivers required for document scanning and must be installed on the scanning workstation. 

Download and run the SDK installer 

If the drivers are not found when you first scan a document, you will be instructed to download the Dynamsoft Software Development Kit. Double-click the downloaded installer and follow the prompts on the screen.

Troubleshooting 

If…

Possible causes

Try this

You are unable to save scanned documents 

Your PACS session has timed out. 


The scanner session has timed out. 


The authentication service is unavailable. 

  • If a notification is displayed, click Try again to try saving the document again. 


  • If you have been logged out, log back in to the Stratus Imaging platform and scan the document again. 


  • Return to the Exams list or exam and scan the document again. 

You are unable to start or complete scanning documents 

The system is unable to retrieve the patient or exam information. 


The authentication service is unavailable. 


The scanning service is interrupted. 

  • If a notification is displayed, click Try again


  • Return to the Exams list or exam and scan the document again. 

Your scanner is not in the list of scanners 

The scanner is unplugged or not turned on. 


The scanner is not supported by the SDK. 

  • Make sure the scanner is connected and turned on. 


  • Contact your PACS administrator.
